Homes AVM: segment your database for useful follow-up

Group contacts by the questions they asked and the next step they want, then use AI drafts with human review.

A practical client segment combines a stated goal, a timing preference, and permission for the relevant contact channel. Use Homes AVM alongside your approved client records to organize useful follow-up. Keep the groups small enough to act on, and do not infer a person’s financial need from a report click or an estimated home value.

Why better organization comes before more automation

NAR’s September 2026 technology coverage describes CRM use and AI-assisted follow-up as common parts of agents’ work. The useful lesson is to connect tools to a clear task. Automating an inaccurate record can send the wrong message faster; it does not improve the relationship. NAR: The technology agents rely on in 2026.

Start with four action-oriented groups

  • Past homeowners requesting regular home updates.
  • Buyers asking about budget or purchase preparation.
  • Homeowners considering a move within a stated timeframe.
  • Contacts requesting an equity or financing review.

Keep a separate suppression process for opt-outs and invalid contacts. A person can belong to more than one interest group, but one owner should coordinate outreach. Avoid demographic or protected-characteristic targeting, and have your organization review marketing practices for fair housing and fair lending concerns.

Record what the client actually said

A useful note reads “Asked for a purchase-budget review after the holidays,” rather than “Hot lead.” Add the source, date, contact preference, and next action. Confirm property ownership before sending a homeowner report. If the client’s plans change, update the group instead of leaving them in an old campaign indefinitely.

  1. Review duplicates, ownership details, and contact preferences.
  2. Assign a stated goal and a next-action owner.
  3. Choose one educational resource for each group.
  4. Set a review date based on the client’s request.
  5. Track replies and update the record after each conversation.

Give AI a bounded drafting task

Use only approved systems and avoid putting sensitive financial details, credentials, or client documents into an unapproved AI tool. Provide the minimum context needed for the draft. Treat the output as a suggestion that must be checked, not a completed communication.

Review every message before sending

  • Is the name, property reference, and stated goal accurate?
  • Does the message offer one relevant answer or next step?
  • Are product claims, figures, and assumptions verified?
  • Does it avoid pressure, invented urgency, and unrequested loan promises?
  • Are contact permissions, required disclosures, and opt-out handling correct?

Commercial email requirements include accurate sender details, an honest subject, a valid postal address, appropriate advertising identification, and an easy opt-out. The FTC also explains that hiring a delivery provider does not remove responsibility. Review calls and texts separately under the applicable requirements. FTC: Commercial email requirements.

What should you measure?

Compare useful replies, requested appointments, overdue next actions, and opt-outs across groups. Small groups can fluctuate, so read the responses before drawing conclusions. If a segment receives few useful replies, revisit its question and contact frequency before adding more messages.

How many segments does a team need?

Use only the groups that lead to a different helpful action. A complex tagging system with no owner becomes another maintenance task. Start with the four groups above, review them monthly, and keep Homes AVM part of a clear service workflow rather than a reason to increase message volume.
